We can have private hayrides or boat rides for our group plue arrange a family photo shoot with their photographer.

We naturally would expect a 5% increase for September of 2010 prices but such a great deal compared to anything I have found!

I think this is great Aimee, thanks for all your research! I think this is great information and just in time for the conference call. My vote goes to this location with a trip to NYC for those who want to join me Ü (diamond district & broadway, here I come!).
This place looks similar to Aspen Grove but when I researched Aspen Grove, for the largest family it would have been over $5,000. This is definitely more reasonable.
I like the idea of September. It's generally the best time to travel from every standpoint.

Aimee, thanks for all of the great research and pulling this together. This looks like an incredible place.
I have a few concerns on budget. Most of us are on the east coast, but those coming from out west will still have airfare to consider (min. $300 per ticket) That will increase Ray and Sara to over $2600, and Randall and Carine @ $1900, which could really put a strain on a family.
Is this experience something that we could put together ourselves for under $11,000?

I have spoken with these families and they are aware of air fare issues. I believe most women would agree that we would love to not be cooking or cleaning on our vacation and the stress of planning something that someone else can take care of for such a minimal cost sounds amazing!! Why don't we add up air fare and gas for everyone and divide it into an even cost that each family contributes too.
Dividing the costs was what I was thinking. For airfare - divided by 7, we are looking at an addtional $300 per family.

No - I mean 7. I was not going to ask Mom and Dad to split the travel costs - they already do so many other things. The difference between 7 and 8 as the divisor is only $40.

So how did you arrive at the number $300 extra per family? Could you break it down?
Breakdown -
Airfare for 3 from SLC to RDU - conservative estimate tickets @ $225 each = $675.
Airfare for 5 from Sacramento, CA to RDU - estimate tickets @ $300 each = $1500. (Ray/Sara how old is your youngest?)
$1500 + $675 = $2,175 / 7 = $310.71

But don't you think we should also throw into the pool of "getting there expense" the gas cost for those who would be driving and then divide the total number by 7 or 8?

This does seem pretty amazing, and the cost is reasonable.
I know that rates will be better in September and for airfare as well, but did they provide any rate quotes for summer so we could compare? I know several families will be impacted by school schedules if we don't do it in the summer.
Conference call this Sunday evening. I'll send out the conference details. Does a conference call work for everyone, or should I try to set up on skype?

Here are out thoughts:
We like the idea of splitting traveling costs. We feel it will help the family reunions continue through out the years.
It would be nice to have more than one possible location to discuss for the conference call. Maybe each family can post their ideas of where they would like the family reunion to take place, and the breakdown of the cost per family before Sunday's call.
Our vote is a beach house, in the summer, for a full week. :)
